Cancellation Policy

Sometimes our plans change. That is understandable and at Process Works, we wish to accommodate you where we can so that you can have ease and are considered. We also wish to create predictability and to support our sustainability so that we can continue to offer our services to those who desire these and can take care of our families.

 

Cancellation or Rebooking Fees

Please schedule your sessions with care so that you do not incur cancellation, rebooking, or refund fees. As the payment partner does not refund it’s fees for refunds or cancellations, there is a fee of 5% of your total order for cancellations, refunds, or rebookings that involve refunds.  In the  Windows of Change & Fees section, below, we have outlined a strategy that seeks to balance care for everyone’s needs.

 

Changing your Session Times (Postponing)

Within certain windows, you can change your session times once without additional fees or penalties.  Please see the Windows of Change & Fees section, below.  

 

Adopting your Spot (Personal One-on-One or Public Scheduled Class)

To provide individuals additional flexibility, if you cannot attend a personal 1-on-1 session or a public class that you registered for with us, and you find someone to attend in your place, you may let someone come in your place for the full one-on-one/4-hour class/7-hour class/multi-day series. This is only possible for personal one-on-ones and for public events, not for private bookings.

To do this:

1) Let us know your name, their name, and the session/full series that they will be adopting at least 2 hours before the scheduled start time of the first or only session via the “Adopting your spot” drop-down option on our Contact page. To foster safety and trust within sessions or series, adoptions of your spot in the class can only happen for the entire session or series, even in the case of a multi-day event.

2) It is your response-ability (responsibility) to provide the one attending for you with the class details so they can attend (e.g. timing, handouts received, Zoom link / address of the event). 

3) If you wish for compensation from the person attending in your place, it is your response-ability (responsibility) to request this compensation from them. We do not reimburse the costs or transfer monies on your behalf. 

 

Adopting your Spot (Organizational Bookings) 

Organizations making a group booking can decide who will be attending on behalf of their organization. If the names of the individuals who are participating on behalf of your organization changes, the original organizer of the booking can let us know, via email. We request that you let us know at least 2 days prior to the start of the first class. 

This is to support safety and proprietary information for the organization and its members. It also helps us to support the organizer in conveying necessary information to participants.   

 

No Shows 

There are no refunds if you or someone from your organization does not show up for your session or class(es).  

 

Personal Emergencies 

In the case that you need to reschedule a one-on-one session or you miss a one-on-one session due to a personal emergency, for example a hospitalization of yourself or direct family member, please contact us within 5 days after your scheduled appointment.  Similarly, if you individually purchased a class and then missed it as a result of a personal emergency, please also contact us. We can then discuss what arrangements we can make to support your learning. For other questions, contact us.

 

Windows of Change & Fees

Expand by your service below for an overview of the refunds you can receive when bookings change and when you can make changes by. There is always at least a 5% fee for cancellations because of payment provider costs.

Rebooking (changing dates) without cancelling, done at least 48 hours before the session begins: no fee.

Adopting your spot: Permitted if you confirm in writing at least 2 hours before (see details under Adopting Your Spot).

Cancellation no later than 48 hours before the session begins: 95% refund (remainder is used to cover expenses).

Rebooking (changing dates) without cancelling: no fee if you rebook at least 2 full weeks before the session begins.

Adopting your spot: Permitted if you confirm in writing at least 2 hours before (see details under Adopting Your Spot).

Cancel no later than 14 days before the session begins: 75% refund (remainder is used to cover expenses, including opportunity costs).

Cancel no later than 21 days before the session begins: 95% refund (remainder is used to cover expenses).

* A Public Scheduled Class is a class that you can sign up to as an individual and has a specific scheduled date.

Rebooking (changing dates) without cancelling: no fee if you rebook at least 21 days before the session begins.

Adopting your spot: Applies to who attends on behalf of the organization (see Adopting your Spot Organizational Bookings).

Cancel no later than 14 days before the session begins: 50% refund (remainder is used to cover expenses, including opportunity costs).

Cancel no later than 21 days before the session begins: 75% refund (remainder is used to cover expenses and time invested in customization).

* A private booking is a class that you booked as a group, either as an organization or a family/friend/community or other group. These classes have dates specifically set aside for your group and are not available to the public to join.
